ClearPath Mobile Notary provides client-focused mobile notary and loan signing services throughout Cleveland and Northeast Ohio, with particular experience in elder care, and rehabilitation facility visits, hospital bedside signings, jail notarizations, and estate planning document signings. These Policies & Procedures explain how our services work, what clients can expect, and how to prepare for a smooth notarization.

1. General Terms of Service

ClearPath Mobile Notary provides notary public services only.

We are not attorneys and do not provide legal advice, legal interpretation, or document drafting. Clients are fully responsible for:

  • The accuracy of their documents

  • Understanding the contents of their documents

  • Ensuring documents meet the requirements of the receiving agency, lender, court, or facility

By booking with ClearPath Mobile Notary, you acknowledge that you understand the role of a notary as an impartial witness, not a legal advisor.

2. Identification Requirements

All signers must provide valid identification in one of the ways recognized under Ohio law:

  • A current, unexpired government-issued photo ID (or one expired no more than three years), such as a driver’s license, state ID, or passport; or

  • Personal knowledge of the signer’s identity by the notary, where applicable; or

  • The sworn statement of a credible witness who personally knows both the notary and the signer.

For appointments in facility settings (memory care, assisted living, hospitals, or correctional facilities), please notify us in advance if the signer does not have current photo ID on hand, so we can confirm an acceptable identification path before the appointment.

Failure to provide acceptable identification will result in the appointment being unable to proceed and may still be subject to applicable fees.

3. Right to Refuse Service

We reserve the right to refuse or discontinue services for reasons including, but not limited to:

• Non-compliance with instructions

• Suspected fraud or misrepresentation

• Abusive or inappropriate conduct

• Requests outside the scope of lawful services

4. Payment Policy

  • Payment is required at or before the time of service.

  • Accepted payment methods are listed on our website/booking page.

  • Services will not be performed without confirmed payment.

5. Cancellation & Rescheduling Policy

  • Appointments canceled or rescheduled with less than 24 hours’ notice may be subject to a cancellation fee.

  • No-shows will be charged the full service fee.

  • Travel fees and reserved time are non-refundable once ClearPath is en route or the scheduled start time has passed.

6. Refund Policy

  • Notary fees are non-refundable once a notarization has been performed.

  • Refunds will not be issued for documents rejected by a third party, client errors or incomplete documents, incorrect document selection, or failure to meet identification or signing requirements.

  • If an error is made by ClearPath, we will take prompt corrective action at no additional charge.

7. Mobile Travel & Fee Policy

  • A travel fee applies based on your location and distance from our service area, confirmed at the time of booking.

  • Notarial fees follow Ohio’s statutory limits, with a reasonable, separately disclosed travel fee as permitted by Ohio law.

  • Wait time exceeding the scheduled appointment window may result in additional charges.

  • Please have all signers, documents, and identification ready upon our arrival.

8. Document Responsibility Disclaimer

  • ClearPath does not review documents for legal sufficiency.

  • We do not guarantee acceptance by any agency, court, lender, or facility.

  • It is the client’s responsibility to confirm document requirements before the appointment.

9. Estate Planning Document Signing Services Disclaimer

  • ClearPath provides notarization and document signing support for estate planning documents — we do not draft documents or provide legal advice about estate planning decisions.

  • Clients are responsible for ensuring the documents they bring meet their personal needs and have been reviewed (ideally with an attorney) before the signing appointment.

10. Elder Care, Memory Care & Facility Visit Policy

  • For signings in memory care, assisted living, or rehabilitation facilities, the signer must be able to understand and willingly engage in the signing at the time of the appointment. Ohio law does not permit a notary to proceed if the signer appears unable to understand what they are signing.

  • A family member or Power of Attorney may coordinate scheduling, but cannot sign on the principal’s behalf unless they are themselves a properly authorized signer with valid ID.

  • We’re happy to coordinate appointment timing directly with facility staff to work around visiting hours, care schedules, and resident needs.

11. Hospital & Correctional Facility Notarization Policy

  • Hospital bedside appointments are scheduled around hospital visiting policies and patient condition; please confirm with nursing staff before booking.

  • Jail and correctional facility notarizations are subject to that facility’s security, identification, and scheduling rules, which may affect appointment timing and require additional lead time.

  • Facility-specific delays beyond ClearPath’s control (security screening, lockdowns, staff availability) may affect arrival time and are not refundable once the notary is en route.

12. Privacy Policy

  • Client information is kept confidential and used only to fulfill your service request.

  • We do not sell or share personal information.

  • Records are maintained in compliance with Ohio notary record-keeping requirements.

13. Agreement to Policies

By booking services with ClearPath Mobile Notary, you confirm that you have read, understood, and agree to these Policies & Procedures.
